Terms & Conditions

We are Lubrano Travel, a full-service agency with a vast range of knowledge and expertise. The following terms & conditions (the “Agreement”) describe what you can expect from us. The terms “we,” “us,” and “our” refer to Lubrano Travel and the term “you” refers to the individual who signs this agreement.

We have preferred partnerships all around the world that enable us to prepare unique and memorable vacations and incentive trips to just about any destination. Trip requests can be as detailed or minimal as you would like. We generally turn over an initial proposal within 24 hours for hotel requests and within a week for custom, multi-destination travel itineraries.

Requests for minor revisions to your itineraries are encouraged and welcome during the planning stages. Three revisions are included in the service charge for your travel planning. We will accept one (1) major revision request per trip. A major revision is a complete change in destination, itinerary, or a significant date change after trip planning has begun. Additional revisions may be subject to special handling fees.

We are happy to assist with villa, home, and boat rentals through one of our preferred partners. However, we do not work with Airbnb, VRBO, or other “people to people” home rental sites.

We generally do not accept air-only requests.

Planning Fees

Your Travel Advisor reserves the right to charge a planning fee at his or her discretion. This planning fee will be communicated and agreed upon prior to the start of trip planning. The amount of the planning fee is based on the complexity of the travel, including but not limited to destination, length of stay, dates of travel, and level of daily travel planning.

If you would like your Travel Advisor to build a custom, multi-way itinerary or research various hotel options, you will be subject to a planning fee, which must be agreed upon before planning commences. This planning fee will be agreed to verbally and in writing.

You agree to fill out a secure credit card form with the agreed-upon amount and to initial the amount, thereby giving Lubrano Travel permission to charge your credit card the non-refundable planning fee. Once charged, you will receive an invoice stating that the fee is non-refundable.

If at any time during the planning process the client decides to cancel or postpone the trip, the planning fee remains non-refundable. At no time will this planning fee be eligible for a refund.

Deposit & Final Payment

Quote and option pricing is not guaranteed until Lubrano Travel receives payment or a credit card guarantee. Certain products may have additional deposit requirements. Deposits may be refundable, partially refundable, or non-refundable. Your Travel Advisor will notify you of the applicable policy at the time of quotation or on your final balance invoice.

The deposit is applied to your final payment, which is due at least 90 days prior to departure. If final payment is not received by the specified date, Lubrano Travel reserves the right to cancel the reservation.

In the case of billing errors, Lubrano Travel reserves the right to re-invoice with the correct pricing. Third-party credit cards are not accepted without written authorization.

Cancellations & Cancellation Fees

All cancellations must be advised in writing. At the time of booking, your Travel Advisor will advise you of the cancellation policy for your hotel, travel program, or itinerary. If no cancellation policy has been provided, you should assume the booking is non-refundable.

Cancellation policies vary and are set by suppliers. Lubrano Travel does not determine cancellation leniency. Travel insurance is strongly recommended.

Lubrano Travel cancellation fees (unless otherwise noted):

  • $25 per hotel cancellation

  • $100 per person for a custom trip that has been deposited but not paid in full

  • $200 per person for a custom trip that has been paid in full

Passports & Visas

A valid passport is required for all travelers and must be valid at least six months beyond your return date to the U.S. The name on your reservation must match your passport exactly.

Non-U.S. citizens must consult the appropriate consulates regarding visa requirements. Securing visas is the responsibility of the traveler, though your Travel Advisor may assist when possible.

Travel Program / Group Prices

Program and group prices are per person, based on double occupancy unless otherwise stated. Prices are based on exchange rates known at the time of quotation. Guests are responsible for foreign exchange fluctuations until final payment.

Lubrano Travel reserves the right to recover any increases in airline fuel surcharges, taxes, or government-imposed fees up to and including the first day of travel.

Itinerary Variations

Lubrano Travel reserves the right to vary itineraries and substitute similar hotels if improvements can be made or if circumstances beyond our control require changes.

Airfare

Airfare is only confirmed once payment is made and an e-ticket number is issued. Without an e-ticket number, airfare is not confirmed.

Once issued, airline changes to seat assignments, schedules, or routing are not the responsibility of Lubrano Travel, though we will advocate on your behalf when possible. Lubrano Travel is not affiliated with any airline and cannot be held liable for airline-imposed changes.

Passengers are responsible for confirming correct legal names and flight details at the time of booking. Air travel is offered as a supporting service to your travel program.

Travel Insurance

Travel insurance is strongly recommended. Policies vary widely, and it is the traveler’s responsibility to ensure adequate coverage. Pre-existing condition clauses and supplier default clauses vary by policy and often require early purchase.

Lubrano Travel is not liable for supplier financial default but will recommend trusted partners. “Cancel For Any Reason” policies must typically be purchased within 15–21 days of the base policy.

Medical evacuation coverage is often limited, and supplemental medical evacuation insurance is recommended.

Pandemics & Government Actions

In the event of a pandemic or government action affecting travel, Lubrano Travel will comply with all regulations and supplier policies. We are not liable for losses resulting from refunds not issued by suppliers in extraordinary circumstances.

Lubrano Travel will advocate on the traveler’s behalf when possible. A minimum $100 service fee may apply. Traditional travel insurance does not cover pandemics or government actions unless a “Cancel For Any Reason” add-on is purchased.

Documents

If required, travel documents will be mailed approximately 14 days prior to departure. Documents will not be released until full payment and all guest details are received.

Responsibility

Suppliers providing transportation, accommodations, tours, or other services are independent contractors and are not agents or employees of Lubrano Travel. Lubrano Travel has no ownership interest in any supplier.

By utilizing supplier services, you agree that Lubrano Travel is not liable for injury, loss, damage, or delays caused by suppliers. Any service disputes must be reported within 30 days of return.
